JOB SUMMARY: The Clinical Support Assistant - Clinical Nutrition and Dietetics is responsible to assist medical professionals in a clinical setting to maintain systems, documents, records, and clinical support tools. S/he is responsible to assist in reviewing, building and maintaining clinical processes and procedures to the Clinical Nutrition and Dietetics Leadership and Team. The Clinical Support Assistant - Clinical Nutrition and Dietetics role is responsible for the management and maintenance of equipment and consumables for the Clinical Nutrition and Dietetics department. S/he is responsible for maintaining and managing the quality control and assurance of all equipment and consumables within the department. S/he ensures that equipment and consumables are made available and placed for efficiency of access for staff. The Clinical Support Assistant - Clinical Nutrition and Dietetics is responsible for ensuring that all duties are carried out to the highest possible standard. S/he collects, verifies, records, and maintains data on clinical activity; prepares associated reports as required. S/he orders and maintains inventories of supplies, as required to support day-to-day clinical support requests and administrative operations requirements. S/he provides day-to-day staff support, including preparing documents and reports, providing office services, scheduling and facilitating meetings and travel arrangements, and/or providing dictation or transcription services. S/he serves as a primary point of contact within the department and redirects to required persons within the department; provides direct support in the areas of electronic records management, data management, office systems and other related applications. S/he is responsible for reviewing and tracking the ordering, procurement and tracking management of stock and equipment for the Special Feeds Unit. S/he will track and liaise with biomedical engineering and materials management, organizing preventative maintenance of specialized equipment in the Special Feeds Unit. S/he performs miscellaneous job-related duties as assigned. KEY ROLE ACCOUNTABILITIES: • Develops, collects, and maintains clinical data, clinical files, clinical reports, and other information concerning critical care issues, deficiencies, and improvement opportunities, either manually or within an internal database management system. • Provides operational support to Manager, in terms of clinical document control, and Senior Management, as assigned, and performing other duties, as required • Collects and compiles clinical individual activity to compile monthly productivity reports for senior management. • Conducts periodic review/audit of files and clinics trackers for accuracy and completeness. • Collects and complies clinical data to report on departmental KPI’s. • Collects and compiles clinical data for job planning reviews. • Provides assistance to clinical staff with more complex technical tasks that require a higher level of understanding of functions. • Uses Electronic Health Record software to assist clinicians in clinical audits, observations and compiling of information • Acts as the technical liaison between Clinicians and Sidra IT (i.e. raising It tickets for Technical issues) • Provides up-to-date information on Nutritional product(s) to Clinical Nutrition Team. • Maintains and tracks CND Clinical workflows and able to provide excellent support to clinical staff with documents required • Provides clinical application support to CND Clinical team as required. • Updates and maintains internal systems, databases, tracking tools, timelines and departmental Clinical plans with departmental specific requirements and information • Responsible for assisting Clinical CND team with preparation, collation, review and tracking of all documentation required for approvals processes • Performs data quality reviews to ensure system accuracy in preparation for submission activities • Produces quarterly quality assurance report of the Special feeds units KPI’s for senior management. • Compiles performance reports - CND monthly reports for leadership, documentation audit reports. • Provides onboarding staff with CND Orientation passport (provide non clinical orientation requirements): wayfinding for Sidra portal, departmental policies and procedures, LMS modules. • Completes Schaptbook training and schedules new and follow-up appointments. • Requests departmental supplies via Oracle Fusion including supplies for the special feeds unit such as bottles, ancillaries, labels, feeds, equipment. • Maintains departments education activities, appointments calendar: (Journal clubs, lunch and learn sessions, webinars). • Tracks and manages the CND departments personal files (QCHP license, probation, performance reports, BLS, fire safety). • Records and transcribes departmental meetings. • Manages and Tracks CND Annual leaves, Rosters, sickness, and toil tracker. • Manages and schedules appointments for Nutrition representatives, HMC appointments. • Communicates effectively, and contributes to positive interdepartmental relationships. • Liaises with representatives of Supply Chain, Biomedical Engineering, materials management, procurement and Facilities Management to ensure that all medical devices, stock and supplies are available for patient care. • Performs basic administrative functions including calendar management, electronic records management, faxing, reception, maintain office systems to maximize efficiency. • Maintains and reviews stock levels/ inventory management and co-ordinates the delivery of stock and equipment required for clinical /patient use. • Ensures that confidentiality is maintained in all transactions. • Adheres to Sidra’s standards as they appear in the Code of Conduct and Conflict of Interest policies • Adheres to and promotes Sidra’s Values QUALIFICATIONS, EXPERIENCE AND SKILLS : ESSENTIAL PREFERRED Education Diploma in relevant field Bachelor’s Degree in relevant field Experience 2+ years of experience working in a progressive hospital or clinic environment 5+ years’ experience in a relevant Clinical field and procurement/ supplies coordination Certification and Licensure Professional Membership Job Specific Skills and Abilities • Demonstrated knowledge of digital office technology including electronic records management systems and communication systems. • Excellent keyboard skills (minimum 40 words per minute) with a high level of accuracy. • Skilled in the use of digital office technology including electronic records management systems and communications systems. • Strong organizational and administrative skills. • Strong interpersonal and communications skills and proven ability to work effectively in a busy hospital environment. • Proficiency with Microsoft Office suite • Fluency in written and spoken English
