Logistics & Operations Officer – Group

Job Summary

We are seeking a proactive and well-organized Logistics & Operations Officer to support logistics, procurement

coordination, transportation, inventory control, and day-to-day operational activities across the Group. The role involves

coordinating with different departments, suppliers, service providers, and business units to ensure the timely movement

of goods, efficient resource utilization, cost control, and smooth operational processes across the Group's automotive

businesses.

 

Key Responsibilities

1. Logistics & Transportation

Coordinate the movement, delivery, collection, and distribution of vehicles, spare parts, equipment, and other

operational materials across Group companies.

Arrange transportation, vehicle transfers, deliveries, and collections as required.

Coordinate with drivers, transport providers, suppliers, and internal departments to ensure timely delivery.

Monitor delivery schedules, track shipments, and follow up on delays.

Maintain accurate records of vehicle movements, deliveries, transportation costs, and related documentation.

Coordinate with relevant parties for customs clearance, shipping documentation, and import-related activities,

where applicable.

2. Procurement & Supplier Coordination

Coordinate purchase requests for operational supplies, equipment, spare parts, office requirements, and other

approved materials.

Obtain supplier quotations, compare prices, verify delivery timelines, and support cost-effective purchasing

decisions.

Prepare purchase orders and follow up on approvals in accordance with company procedures.

Coordinate with approved suppliers and service providers to ensure timely delivery of goods and services.

Monitor supplier performance, pricing, and delivery commitments, escalating discrepancies when necessary.

Maintain updated supplier records, quotations, purchase orders, and procurement documentation.

3. Group Operations Support

Coordinate day-to-day operational requirements across the Group's showrooms, service centres, offices,

warehouses, and other business locations.

Liaise with department heads and branch representatives to identify and address operational requirements.

Coordinate the movement and allocation of equipment, tools, furniture, uniforms, safety equipment, and other

company assets.

Follow up on maintenance requests, facility-related requirements, and operational issues with the relevant

teams and service providers.

Assist in implementing standardized operational procedures across Group companies.

Support management in coordinating interdepartmental activities and resolving operational bottlenecks.

4. Inventory & Asset Management

Maintain records of inventory, operational supplies, equipment, and company assets.

Monitor stock levels and coordinate replenishment to prevent shortages or excess inventory.

Conduct periodic physical stock checks and reconcile discrepancies with recorded balances.

Coordinate the issuance, transfer, return, and allocation of company assets and materials.

Identify obsolete, damaged, or underutilized stock and report findings to management.

Ensure proper documentation and accountability for all stock and asset movements.

5. Documentation & Reporting

Maintain accurate records of purchase requests, purchase orders, delivery notes, Goods Received Notes

(GRNs), invoices, and transportation documents.

Prepare periodic reports on logistics activities, procurement status, inventory levels, operational expenses, and

pending deliveries.

 

 

Track delivery timelines, supplier performance, and outstanding operational requirements.

Ensure documents are properly maintained and available for verification, audit, and management review.

Assist in monitoring operational expenses and identifying opportunities for cost reduction.

6. Compliance & Cost Control

Ensure logistics, procurement, and operational activities comply with company policies and approval

procedures.

Obtain the required authorization before committing to purchases, transportation expenses, or service

agreements.

Monitor costs and recommend practical measures to improve operational efficiency.

Maintain professional relationships with suppliers and service providers.

Uphold company standards of integrity and confidentiality and avoid conflicts of interest.

Qualifications & Experience

Diploma or bachelor's degree in Logistics, Supply Chain Management, Business Administration, Operations

Management, or a related field is preferred.

Previous experience in logistics, operations, procurement coordination, or supply chain support is preferred.

Experience in the automotive industry or managing operations across multiple business locations is an

advantage.

Knowledge of transportation coordination, inventory control, supplier management, and procurement

documentation.

Proficiency in Microsoft Office, particularly Excel, and familiarity with ERP systems is an advantage.

Good written and verbal communication skills in English.

Strong organizational, coordination, and problem-solving abilities.

Ability to manage multiple tasks, meet deadlines, and coordinate with different departments.

A valid Qatar driving licence is an advantage.

Language Requirements: Fluency in Arabic and English is required. The candidate must be able to read,

write, and speak Arabic confidently for effective communication with suppliers, service providers, and internal

stakeholders.
